(“Clearbook”, “we”, “our”, or “us”) collects, uses, and stores personal information that we receive from or about you (“you”) in connection with Clearbook.ai (the “Website”) and the services we provide (the “Services”). Nothing in this Privacy Policy is intended to limit your statutory rights.

We respect your privacy and strive to meet high data-protection standards. Please read this Privacy Policy carefully to understand our practices.

This Privacy Policy may be updated from time to time. If we make material changes that differ from what was stated at the time of collection, we will notify you by posting a notice on our Website or by other means and take additional steps as required by applicable law.

What personal information we collect, why we collect it, and how it is used

We process the following personal information:

  • Information provided through the Services. For example, your full name, email address, phone number, and any other information you choose to provide.
  • Information provided through the Website. For example, when you request a cost-saving estimate or contact us via the Website (such as Website chat), we may process your full name, email address, and phone number.
  • Information automatically collected. We automatically collect certain data via cookies, pixels, and similar technologies (“Technologies”), including your IP address, device identifiers, browser type and language, geolocation information, hardware/OS, ISP, and information about actions taken on the Website/Services.
  • Information from other sources. We may obtain information about you from publicly or commercially available sources, third-party data platforms, partners, and service providers.

We process information for the following purposes:

  • To provide you with the Services. Including (i) providing the Services and processing your requests; (ii) communicating with you about your use of the Services and support; and (iii) fulfilling your instructions/requests related to the Services.
  • To allow you to use our Website. Including (i) processing and answering your cost-saving estimate requests; (ii) answering questions and enabling communications; (iii) analyzing usage to improve the Website; and (iv) customizing your experience.
  • Administrative purposes. Including customer support, providing Services, internal quality control, establishing business relationships, and general administration.
  • To market our Website and Services. Including notifying you about offers/services, tailoring content/ads (including targeting and retargeting), conducting market research, developing and marketing new products/services, measuring interest, and other purposes disclosed at the time of collection or with your consent.
  • Security purposes. Including detecting, preventing, and prosecuting fraud or illegal activity; identifying/repairing errors; conducting audits; complying with laws and requests of authorities; and exercising or defending legal claims.
  • De-identified and aggregated use. We may anonymize/de-identify information and use it internally and externally (including with AI) for analysis, service improvement, research, developing new features, and enhancing your experience.
  • Cookies and similar technologies. We and third parties use Technologies to automatically collect information. You can block, delete, or disable such technologies via your browser/device settings or preference tools.

How we protect and retain your personal information

Security. We implement and maintain reasonable technical, organizational, and security measures designed to protect your information. However, no method is 100% secure, and we cannot guarantee absolute security. You are responsible for protecting your devices, networks, and credentials.

Retention. We store information until we proactively delete it or you submit a valid deletion request. In some cases, we retain information longer to comply with legal, regulatory, tax, or accounting requirements; to maintain accurate records (e.g., in case of complaints or challenges); and/or where we reasonably believe litigation is likely.

How we share your personal information

We share information with partners, affiliated companies, service providers, and in other contexts, including:

  • Cloud hosting providers;
  • Website and content management platforms;
  • Email, marketing, CRM, and similar tools;
  • Analytics companies;
  • Regulators, courts, banks, and competent authorities to comply with laws or lawful requests, and to protect the safety, security, and integrity of Clearbook, our Services, customers, employees, property, and the public;

Your privacy rights

Depending on your jurisdiction and subject to exemptions, you may have the right to:

  • Withdraw consent where processing is based on consent;
  • Access personal information we hold and request details about our processing;
  • Request rectification of inaccurate personal information;
  • Object to unlawful data processing under certain conditions;
  • Request erasure (“right to be forgotten”) under certain conditions;
  • Request restriction of processing under certain conditions (e.g., where you contest accuracy or necessity);
  • Data portability for personal information you provided to us in a structured, commonly used, machine-readable format, subject to conditions; and
  • Object to certain profiling/automated decision-making in marketing contexts and opt out of direct marketing.

We will respond as required by law and may request additional information to verify/secure your request. Where permitted, we may charge a fee (e.g., for manifestly unfounded or excessive requests). If your request would adversely affect the rights and freedoms of others or we are legally entitled to handle it differently, we will address it to the maximum extent possible under applicable law.

Marketing emails – opt-out. You can opt out by emailing info@clearbook.ai with the subject “BLOCK” (from the account you wish to block) or by using the unsubscribe link in our emails.

Use by children

We do not offer products or services for use by children and do not knowingly collect information from individuals under 18. If you are under 18, do not provide information without a parent/guardian. If we become aware of information provided in violation of applicable laws, we may delete it. If you believe we may have such information, please contact us at info@clearbook.ai.

Interaction with third-party products

Our Services may enable interactions with third-party websites, apps, products, or services (“Third Party Services”) not owned or controlled by us. We are not responsible for their privacy practices or content. Third Party Services may collect information from you; please review their terms and privacy policies.

Analytic tools / Cookies

Google Analytics. We use “Google Analytics” to collect usage information (e.g., visit frequency, pages visited, prior referrers) to maintain and improve the Website and our products. Facebook Pixels and SDKs. We use Facebook tools to help integrate, use, and exchange information for ad targeting and measurement. Third parties (including Facebook) may use cookies, web beacons, and similar technologies to collect/receive information and provide measurement services and targeted ads. Through our Services we may allow advertising partners to set tracking tools and collect information about your activities and device (e.g., IP address, mobile identifiers, pages visited, location, time of day), and we may combine/share such information (e.g., demographics, purchase history) for interest-based advertising. We may add or remove analytics tools, cookies, pixels, and other tracking technologies.

Specific provisions applicable under California privacy law

California Privacy Rights. California Civil Code §1798.83 permits California residents to request information regarding our disclosures to third parties for direct marketing purposes. To make such a request, email info@clearbook.ai. We respond to one request per customer per year.

Do Not Track. We do not respond to or honor Do Not Track (DNT) signals or similar browser mechanisms.
